Yale's clerical and technical workers union says the university is quietly shrinking its workforce by using AI chatbots to absorb tasks once done by people who retire or quit. Local 34's membership has fallen from 4,112 in April 2025 to about 3,933 now, a drop of roughly 179 positions over about a year and a half. Yale disputes the union's framing, saying it has not cut roles to deploy AI tools. The disagreement sits at the center of contract negotiations now underway between the university and Local 34.

The union released a report in early October describing what it called passive replacement: AI taking over work from vacancies that are simply never refilled. The report cites a hiring freeze and a retirement incentive as examples of what it says has cut union workers across departments. It also argues that supplementing a smaller staff with AI lets Yale avoid hiring replacements for people who have left, keeping the same workload with fewer union members. Yale's spokesperson said AI is meant to support staff expertise and judgment rather than substitute for it.

Yale began rolling out Clarity, an internal platform, in August 2024. The system gives staff access to versions of Anthropic's Claude, OpenAI's ChatGPT, and Google's Gemini built to meet the university's security standards. Several departments have since built their own agents on the platform. Helen serves the School of Public Health as a research administration concierge, Harvey searches the medical library catalog and PubMed, and Reggie works in the Registrar's Office. A Yale Finance Chatbot answers questions about university finance policies and procedures.

Former employees describe a mixed record. Carolyn Kyrtopolous, an administrative assistant, said generative AI cut the time to produce scholar biographies by three quarters. Jennifer Ongley wrote that the technology produced a confusing jumble of errors that took extra time to fix. Dana Greene, who retired in May after 32 years as a senior administrative assistant at the School of Public Health, said supervisors pushed her team to use Clarity starting the winter before she left. She said the chatbot cited the same Yale policies and procedures she would have consulted herself.

Local 34 is asking Yale to work with unions on a responsible transition to AI-assisted work, protect current jobs, strengthen layoff benefits, and raise pay for workers trained to use AI. The union's report also asks Yale to maintain at least 3,933 clerical and technical positions over the next five years. Yale's public job listings show at least 17 administrative assistant positions open now. Contract talks are continuing, and the union's report states that AI has made the negotiations more challenging.
